School Verification Instructions

As you know, we are preparing to collect enrollment submissions for the 2018-19 and 2019-20 UIL Reclassification and Realignment. The enrollment snapshot date is October 27, 2017. You will not be able to submit enrollments until the enrollment window is opened on October 27th. The UIL Conference and District Alignment Policies and Procedures have been reorganized and can be found with the following link: http://www.uiltexas.org/alignments

To prepare for this, we are asking superintendents to login into the UIL Portal to review, verify, and submit certain information.

First, we ask that you review the list of high schools in your school district that will be participating in the 2018-19 school year to ensure all of your high schools are listed. Additionally, we need you to verify the type of school for each of your high schools, traditional or alternative. For UIL alignment purposes, the following information will help you make those determinations:

Traditional School

A traditional school is a comprehensive high school or open enrollment charter school with a defined attendance zone.

Alternative School

An alternative school is one without defined attendance zones. These may include, but are not limited to:

  • Discipline alternative education programs (DAEP) and juvenile justice alternative education programs (JJAEP),
  • Juvenile detention centers, county jails;
  • Drop-out prevention/drop-out recovery schools, credit recovery schools, high school equivalency (GED) programs;
  • Schools of Choice, such as:
    • ISD charters,
    • Career and technical education campuses,
    • Early college campuses, T-STEM campuses,
    • Men’s/women’s leadership academies, 
    • Other ISD schools that do not have defined attendance zones from which they draw their students.

If there is a school that will be participating in UIL activities missing from your list of schools, please contact the UIL office immediately so we can address the issue. You can call Susan Doherty at (512) 471-5883 or email: director@uiltexas.org.

Additionally, the superintendent may choose to assign the ability / responsibility to submit enrollment figures for their school(s) to another school district or campus administrator.

The following instructions will guide you through verifying the high schools in your district and, if you choose, assigning the submission of enrollment figures to another district employee.

 

Verifying schools:

Superintendents can log into the UIL Portal and verify their participating member schools for the 2018-20 alignment period:

Once you are logged in, click ‘Enrollment Home Page’ on the left hand side of the screen. This will bring you to a list of all of your UIL member schools, along with a designation of ‘School Type’ for purposes of the alignment submission process. See information above for a description of each school type.

If the information for a school is correct, simply click ‘Information Correct’ and move to the next school, if applicable.

If the information is not correct, click the box listing the school type, make the correct designation, and click ‘Update Info’ (which will populate once you change the school type).

Once you have completed verifying the schools listed, click ‘Ok’ to complete the verification process.

 

Assigning Submission of Enrollment Figures to another School District or Campus Administrator:

The superintendent has the option to assign the ability / responsibility of submitting enrollment figures for each school to another school district or campus administrator.

To assign all schools in the school district to the same employee, click ‘Assign All’ in the top left of the screen. Begin typing the name of the person to whom the duties will be assigned and click their name when it appears in the search box.

You can also assign schools individually to different employees. Click the appropriate row containing the name of the school you wish to assign. Then, click ‘Assign to School Admin’. Begin typing the name of the person to whom the duties will be assigned and click their name when it appears in the search box. The assigned user for each school, if applicable, will appear in the display box ‘Assigned to:’ at the end of each row.

Thank you for taking the time to ensure we have your information correct in the UIL Portal. Again, no enrollment figures may be submitted until the enrollment window opens on October 27th.
